We incorporate provider standards that ensure data protection and user privacy across all integrated services.
2. Data We Collect
Account and Contact Data: Name, email address, phone number, billing address, and operational metadata from use of our Pickaxe-hosted tools
Payment Data: Credit card details and billing information processed securely by Stripe
Content Data: Prompts, texts, images, files, and audio uploaded to our tools for AI processing
Sequential Processing Data: Multi-step reasoning chains, intermediate thoughts, and iterative problem-solving processes generated through our sequential thinking capabilities
Knowledge Base Interactions: Search queries, retrieval requests, and document generation parameters used with our expansive knowledge systems
Document Creation Data: Templates, formatting preferences, content specifications, and generated documents created at user request
Audio/Video Data: Content submitted for transcription is sent to AssemblyAI for processing with encryption and configurable deletion after processing
Query and Browsing Metadata: Information collected when using our research features via Perplexity Sonar API
Technical Data: IP address, device/browser information, error logs, and cookies necessary to operate Pickaxe-based applications
3. How We Use Data
Deliver core functionality on Pickaxe and maintain service quality
Execute Sequential Thinking Processes: Analyze complex queries through multi-step reasoning chains and iterative problem-solving
Provide Knowledge Base Access: Search, retrieve, and synthesize information from our expansive data repositories to enhance AI responses
Generate Documents on Demand: Create customized documents, reports, templates, and content based on user specifications and requests
Process audio with AssemblyAI for speech-to-text services with encryption and developer-controllable retention practices
Execute AI search and retrieval via Perplexity Sonar
Route prompts to one or more AI model providers: Anthropic (Claude), OpenAI (GPT), xAI (Grok), Google (Gemini), and Meta (LLaMA)
Process payments and fraud prevention through Stripe's infrastructure
Provide customer support and technical assistance
Improve our services and develop new features
Send service updates and marketing communications (with consent)
4. Legal Bases and User Rights
We rely on performance of a contract, legitimate interests, consent where required, and compliance obligations. Users may access, correct, delete, port, and restrict processing consistent with applicable privacy rights.
5. Security
Platform Security: Pickaxe provides encryption and data protection measures
Sequential Processing Security: Multi-step reasoning data is protected with the same security standards as primary content
Knowledge Base Security: Secure storage and retrieval systems with access controls and encryption
Document Generation Security: Created documents are protected during generation and storage processes
Payment Security: Stripe provides PCI Level 1 controls with tokenization and end-to-end encryption
Audio Security: AssemblyAI best practices include encryption and configurable deletion when transcriptions are no longer needed
Multi-Model Security: We apply provider-specific guardrails and privacy controls across all AI integrations
6. Third-Party Processing Details
Anthropic Claude: Natural language processing with specified training cutoffs and enterprise controls, including sequential reasoning capabilities

Meta LLaMA: Processing with available opt-out mechanisms for training; utilized for knowledge synthesis tasks
Pickaxe: Hosting platform with privacy commitments and user control features supporting complex AI workflows
AssemblyAI: Speech processing with encryption and developer-controlled deletion capabilities
Perplexity Sonar: Search functionality governed by API privacy terms, enhanced for knowledge base queries
Stripe: Payment processing with PCI DSS Level 1 compliance and minimal merchant scope
7. Data Retention
Account and Operational Data: Retained while account is active and as required for legal purposes
Sequential Processing Data: Reasoning chains and intermediate steps retained according to our minimization policies
Knowledge Base Data: Search queries and retrieval patterns retained for service improvement with user privacy controls
Generated Documents: Retained according to user preferences and account settings
AI Processing Logs: Subject to provider retention windows and our minimization policies
Audio Data: Deleted upon completion or within short operational windows
Payment Data: Retained by Stripe per compliance obligations
General Data: Typically deleted within 30 days of account closure unless longer retention is required
